Locking lost or stolen devices
If one of your users loses a device or it gets stolen, the data on it must not fall into the wrong hands. In iCL Portal you can therefore lock (revoke) such a device. The next time the device is online, iCL Filler logs out and deletes all data stored on the device.
Locking devices only works with iCL Filler 3.0, not with iCL Filler 2.0. iCL Filler 2.0 does not log out and does not delete the data on a locked device.
Locking devices requires iCL Portal 1.87.0.0 or later.
Only iCL Filler 3.0 version 3.2610.6.0 or later (build 2026101401 or later on Android and iOS) logs out and deletes its data when its device is locked. Regardless of the app version, iCL Portal does not issue a license to a locked device anymore.
Locking and unlocking devices requires the permission Devices.Revoke.
The Administrator role has it by default.
Users without it can still see the list of devices, but not lock or unlock them.
1. Finding the device
Navigate to Settings > License Usage. It lists every device on which iCL Filler was used, together with the user who used it last.
The column Status shows whether a device is Active or locked, the column OS shows its operating system.
The column Last check shows when the device last checked whether it is locked (updated at most once per hour).
Search for the device of your user, e.g. by filtering the user name.
2. Locking the device
Click the lock button (🔒) in front of the device. The button is only shown for devices that have already checked whether they are locked, i.e. that show a date in the column Last check. iCL Filler 3.0 does this from version 3.2610.6.0 on, at the latest 15 minutes after the device got online. Devices with iCL Filler 2.0 or an older version of iCL Filler 3.0 cannot be locked. To lock several devices at once, select them in the list and use the Lock device button in the toolbar.
In the dialog you can
- enter a reason, e.g. "lost on 2026-10-12", so that your colleagues know later why the device was locked,
- choose to upload unsynchronized data first.
Confirm with Lock. The device is then listed in the tab Locked devices:
If this option is selected, iCL Filler synchronizes the device one last time before it deletes its data, so that inspections which were not synchronized yet are not lost. Only select it if you are sure that the data on the device can be trusted — whoever holds the device could have changed it.
The upload only works as long as the user's session on the device is still valid. If it has expired, the data is deleted without being uploaded. Without this option, data that has not been synchronized yet is lost.
3. What happens on the device
iCL Filler checks whether its device was locked
- when the app is started or brought back to the foreground,
- when the device gets online again,
- and regularly in the background (at most every 15 minutes).
As soon as it finds out that the device was locked, iCL Filler
- uploads unsynchronized data, if you selected that option,
- logs out and deletes all data stored on the device,
- tells the user that the device was locked by the administrator:
This device was disconnected from iCL Portal by your administrator. You have been logged out and the data on this device was removed.
If the app was in the background, this message shows up as a notification and again the next time the app is opened.
- confirms the deletion to iCL Portal.
If somebody logs in again on a locked device, iCL Filler logs out and deletes the data again right after the login.
A device that is switched off or never gets online again cannot delete its data. In that case, it is at least locked out: iCL Portal does not issue a license to it anymore. If you suspect that the user's password is compromised as well, change it.
4. Checking the status
All locked devices are listed in the tab Locked devices — even once they no longer show up in the license usage list. If there are locked devices, the license usage list also shows the button ... locked devices, which opens this tab.
The column Status tells you whether the device already picked up the lock:
| Status | Meaning |
|---|---|
| Locked – waiting for device | The device has not been online since you locked it. Its data is still on it. |
| Locked – signed out on ... | iCL Filler logged out and deleted all data at the given time. The addition tells you whether unsynchronized data was uploaded before. |
Only the first confirmation of a device counts. Afterwards, the status cannot be changed by the device anymore.
5. Unlocking a device
If the device turns up again, click the unlock button (🔓) in front of it, either in the license usage list or in the tab Locked devices, and confirm. The device can then be used again. As its data was deleted, the user has to log in again.
